Departmental Ledgers for Contracts & Grants and Construction Organizations

There are three Departmental Ledger reports published by Finance and Accounting dated August 2, 1995, for the month ended July 31, 1995, for Contracts & Grants and Construction Organizations. Two of them, the Year-to-date Departmental Ledger Summary and the Departmental Ledger Detail have “SS185V11 SUS 08/02/95” on the top left corner of each page. The Life-to-Date Departmental Ledger Summary will have “SS185LTD SUS 08/02/95” on the top left corner of each page.

This year the remaining budget from the prior year for Construction and Contracts & Grant Organizations was brought forward after dual year processing on July 25, 1995. This did not create any problems for the “SS185V11 SUS 08/02/95” reports, the Year-to-date Departmental Ledger Summary and the Departmental Ledger Detail. However, the “SS185LTD SUS 08/02/95” report, The Life-to-Date Departmental Ledger Summary, will have an overstatement of “budget” and “available balance” by the amount of budget brought forward.

This overstatement was corrected with transactions on August 15,1995. Any “SS185LTD” reports generated after August 15, 1995, will be correct. Please note that although the correcting transactions will appear on Departmental Ledger Detail reports generated after August 15, they do not affect the year-to-date balances.

A copy of this memorandum will be inserted with all Departmental Ledgers for July 31, 1995, distributed by Finance and Accounting.
