Testing of Copiers – Free Copies for Participants

The University is in the process of re-bidding its Annual Contract for Copiers and has a need to test copiers offered on this contract. Departments with both small to large copier usage are needed to help evaluate fully-featured state-of-the-art copy machines. There is no cost to those who wish to participate.

The program is simple — this office will coordinate the placement of various sizes of different copiers in locations that meet the machine’s monthly copy volume. You will be asked to monitor the machine for 30 days. All copies made during this testing period will be free of charge to your department. The vendor will supply the machine, training, and all operational supplies (including paper) at no cost as part of the testing.

Your role will be to use the machine as you normally use your present copier, report any machine failures to this office, and keep a record of these failures. At the end of the testing period you will be required to fill out a brief report on the machine’s performance.

After installation, the vendor will not visit the machine site for any reason other than a requested service call. You are not to be influenced by the vendor’s representative. If a vendor persists on visiting a machine site, the machine will be replaced with another one, if available.
