myUFL Financial Systems Upgrade “go-live” transition and training

The upgrade of the myUFL financial systems—which include grants management, enterprise reporting, and the UF Data Warehouse—is scheduled to “go live” on May 10. Since fall 2009, several teams of university employees have been hard at work to ensure the financial systems continue to meet UF’s business demands both now and in the future.

The myUFL Financial Systems Upgrade go-live process will require scheduled downtime spanning several days before the May 10 go-live date. The project team considered UF’s business processes as well as the time necessary for training and security role requests in determining the deployment window and go-live date. myBeta
A myBeta test environment, which may be found online at mybeta.ufl.edu, is now available. myBeta is a copy of the myUFL system’s production environment that reflects what the upgraded system will look like when it goes live. It also reflects the “look and feel” changes throughout the system that will impact all myUFL users.

myBeta provides employees with a great opportunity to check out the new features of the upgraded myUFL system. Each area’s Department Security Administrator (DSA) must request security access on behalf of employees who would like to try myBeta. To help departments navigate this process, a “Roadmap to myBeta” guide is available on the Upgrade web site at upgrade.my.ufl.edu/roadmap.pdf. Data available in myBeta is based on what was in production as of September 14, 2010.

Training
Online training modules that support the financial upgrade will be released beginning this month, and additional courses will be added on an ongoing basis through April. Already, a “look and feel” tutorial has been made available. To view the tutorial and the complete schedule of online training, please visit the Training section of the Upgrade web site at upgrade.my.ufl.edu/training.html. In some cases, training will be required for continued access to the upgraded myUFL system. This training must be completed by the end of May. See the list of available security roles and required training at upgrade.my.ufl.edu/roles.html. Face-to-face Q&A sessions also will be scheduled to further support this training effort.

Once available, the myUFL Financial Systems Upgrade training will be accessed via myUFL by logging into the system (my.ufl.edu) and navigating to My Self Service > Training and Development > Request Training Enrollment.  Again, the published training schedule (upgrade.my.ufl.edu/training.html) reflects when each workshop will become available for registration.
