Fiscal Year-end Payroll Award and Other Special Payment Processing

Please note the following processing deadlines for payment of Superior Accomplishment, Departmental Recognition, Faculty Supplemental Payments, Commissions, Productivity, and Incentive Awards, if the payments are to be made from 1997-98 fiscal year financial resources.

 

Payment requests which require physical warrants must be in the University Payroll Services office by May 22, 1998. The warrants will be dated June 5, 1998.

Change in Tuition Waiver Policy

Effective Fall 1998, all graduate assistants holding appointments from .25 to .74 FTE will receive a tuition waver for 9 credit hours each Fall and Spring semester. Currently, graduate assistant holding .50 to .74 FTE appointments receive a waiver for only 8 credit hours. OPS Appointment Updates for 1998-99

Each year Academic Affairs offers the opportunity to extend current assignments for 12 month OPS faculty, post-doctoral employees, residents, interns, clinical fellows, and 12 month graduate assistants (Job Code C) in the personnel/payroll system into the new fiscal year via a computer listing. This procedure eliminates the time and effort it would take to prepare appointment forms for these employees.

Year-End Closing for University Disbursement and Property Services, including Certified Forwards, Fiscal Year 1997-1998

It is time to begin planning for June 30, 1998, year-end closing. Departments are encouraged to submit invoices for payment as early as possible to ensure payment from current year funds. Outstanding encumbrances should be reviewed and any which are not needed should be closed. A useful tool for reviewing encumbrances is the Outstanding Encumbrance Report that is attached to your monthly Departmental Ledgers. Photocopy Refund Procedure for Departments

The following is the pay out plan for Capital Copy Cards held by Departments. To date, the process for individual card holders has not been finalized. We will let you know as soon as a decision has been made.

On Wednesday, May 6, Capital Copy will begin the refund process for Departments. Department copy cards cannot be refunded locally.

Departments should collect all the outstanding Department copy cards.

Year End Closing

In order to facilitate an orderly year-end closing and to encumber remaining funds, it is necessary to establish cut-off dates for all requisitions to purchase. These dates do not apply to contract and grant funds that do not expire June 30, 1998.

Orders above $15,000 that require competitive bidding should be submitted as soon as possible. A Formal bid usually requires 45 days to specify, advertise, open, evaluate and award before a purchase order can be issued.

New Year Blankets and Maintenance Agreements

In mid-June blanket requisitions that were entered on the electronic requisition system during 1997-98 on state, auxiliary or local funds will appear on level 1 browse screen and highlighted as new requisitions. The departments may change anything other than the Requisition number and forward to Purchasing beginning June 29. You may delete any requisition not needed in the new fiscal year. Requisitions originally submitted on paper and contract and grant accounts will not be effected.
