In an effort to help make the Purchasing Card reconciliation process more efficient, Finance and Accounting has implemented an on-line report (Purchasing Card Paid Aging Report) to be used by Purchasing Card Holders, Reconcilers, and Approvers. The paper report currently being used requires several reams of paper to produce and considerable staff time to distribute. It also delays the reconciliation process 10 days or more. An April 10, 2003 DDD memo provided new draft text for Letters of Offer to incoming Alumni Fellows. The text contains an error, suggesting that an Alumni Fellow support package consists of one year of fellowship support and three years of graduate assistant support. Each year Academic Affairs offers the opportunity to extend current assignments for 12 month OPS faculty, post-doctoral employees, residents, interns, clinical fellows, and 12 month graduate assistants (Job Code C) in the personnel/payroll system into the new fiscal year via a computer listing. This procedure eliminates the time and effort it would take to prepare appointment forms for these employees.

The University Operators provide coverage of the university’s main number (392.3261) and monitor emergency elevator and sewage lift station alarms. In the past, the UF telephone operator service provided assistance 24 hour / seven days a week. To improve the efficiency of the operation, the schedule has changed effective May 2, 2003. The hours of operation are now 7:00 a.m. to 11:00 p.m. / seven days a week.

Payroll cost transfers for fiscal year 2002-2003 should be prepared and approved, via the Online Cost Transfer application, by 5:00 p.m. 06/06/03. Any rejected payroll cost transfers must be corrected or deleted by this same date. The application will be closed after this date for fiscal year end reconciliation closeout purposes.
